1. Overview
This policy outlines the terms and procedures governing the booking, reservation, and cancellation of Fuse accommodation units. It applies to all prospective and confirmed tenants across all Fuse properties.
2. Eligibility Requirements
To book a Fuse unit, the applicant must meet all of the following criteria:
- Be under 35 years of age at the time of booking
- Be at least 18 years of age at the contract start date
- Be temporarily relocating to the city of the Unit for a defined purpose, including but not limited to:
- University or college studies at a recognised educational institution (e.g. ELTE, Corvinus, Semmelweis, BME, Óbuda University in Budapest; University of Latvia, Riga Technical University, Stradiņš University in Riga)
- Internships or traineeships
- Early-career employment (first jobs, trainee or graduate programs, fixed-term contracts)
- Volunteering with a recognised non-profit or non-governmental organisation
- Erasmus, fellowships, or similar academic or professional exchange programs
- Other temporary-stay purposes consistent with the Fuse community
- Provide valid proof of identity (passport or national ID)
- Provide a document evidencing the purpose and intended duration of their stay, issued by a recognised institution (e.g. enrolment confirmation, internship or traineeship agreement, employment contract or offer letter, volunteering agreement, or exchange/fellowship program confirmation)
- Commit to a minimum stay of 5 months
Applicants whose situation does not fit neatly into one of the categories above but is consistent in spirit may contact sales@fusestays.com for review. Fuse Stays reserves the right, in its reasonable discretion and subject to applicable law, to accept or reject any application.
3. Booking Process
Step 1 — Unit Selection & Details Submission
The customer selects their preferred unit and submits their personal details via the Fuse booking platform. During this step, they choose their desired contract length: 5 months, 6 months, 10 months, or 12 months. The rent price displayed is determined by the selected contract type, with the 12-month contract serving as the base rate and shorter contracts carrying a proportionally higher monthly rent.
Step 2 — Account Verification
Upon pressing "Continue", the customer receives an email to verify their account. The booking process is now in progress, but the unit is not yet reserved.
Step 3 — Membership Fee Payment
The customer must pay a non-refundable membership fee of €295. Only upon successful payment of this fee is the unit reserved for the customer. Until this payment is completed, the unit remains listed as available and may be booked by another applicant.
The membership fee grants the customer access to:
- All Fuse units across the network
- The Fuse community
- Exclusive discounts with partnering events, clubs, cafés, and restaurants in the relevant city
Step 4 — Document Upload (48-Hour Deadline)
Within 48 hours of membership fee payment, the customer must upload the following documents:
- Proof of identity (passport or national ID)
- A document evidencing the purpose and intended duration of their stay (e.g. enrolment confirmation, internship agreement, employment contract or offer letter, volunteering agreement, or exchange/fellowship program confirmation)
If documents are not uploaded within 48 hours, the booking is automatically cancelled and the unit is re-listed as available. The membership fee is not refunded.
Step 5 — Document Verification
The Fuse Reservations Team reviews the submitted documents. If the applicant meets all eligibility requirements, a tenancy agreement is generated and sent to the customer.
If the documents are incomplete, invalid, or the eligibility requirements are not met, the Reservations Team will notify the customer and may request corrected documents within a specified timeframe, or reject the application.
Step 6 — Tenancy Agreement
The tenancy agreement is issued with the following date rules:
- Contract start date: 1st or 15th of the month only
- Contract end date: 15th or last day of the month only
The customer must digitally sign the tenancy agreement within the time limit stated in the signing request email. Failure to sign within this period may result in cancellation of the booking.
Step 7 — Payment of First Month's Rent & Deposit
Once the tenancy agreement is signed, the customer receives instructions to pay:
- First month's rent
- Security deposit, which is equal to:
- 1.5× the base monthly rent for units in Riga
- 2× the base monthly rent for units in Budapest
The deposit is held in a separate account by the relevant local Fuse entity and returned after checkout, subject to standard deductions (see Section 5 and the Platform Terms & Conditions).
Both amounts must be paid in full before the contract start date.
Step 8 — Check-In
Two days before the contract start date, the customer receives check-in details by email, including instructions on how to arrive at the property and collect their keys.
4. Cancellation Policy
4.1 Cancellation Before Membership Fee Payment
The customer may abandon the booking at any time before paying the membership fee, at no cost. Since the unit has not been reserved, no cancellation action is required.
4.2 Cancellation After Membership Fee Payment but Before Signing the Tenancy Agreement
If the customer cancels after paying the membership fee but before signing the tenancy agreement:
- The membership fee of €295 is non-refundable
- No further charges apply
- The unit is re-listed as available immediately
Automatic cancellation also occurs if the customer fails to upload documents within 48 hours or fails to sign the tenancy agreement within the required timeframe. In both cases, the membership fee is not refunded.
4.3 Cooling-Off Period (7 Calendar Days After Signing)
In line with industry standards, the customer may cancel the tenancy agreement within 7 calendar days of signing, subject to the following:
- The membership fee of €295 is non-refundable
- The security deposit is refunded in full
- If the first month's rent has been paid, it is refunded in full
- Written notice of cancellation must be sent to support@fusestays.com within the 7-day period
4.4 Cancellation After the Cooling-Off Period but Before Contract Start Date
If the customer cancels after the cooling-off period has expired but before the contract start date:
- The membership fee of €295 is non-refundable
- The security deposit is refunded in full (the deposit is always refundable)
- The first month's rent is non-refundable
- The unit is re-listed as available
4.5 Early Termination After Contract Start Date
Once the tenancy has commenced, the customer may request early termination subject to the following:
- A minimum 30 days' written notice must be provided to support@fusestays.com
- An early termination fee equal to one month's rent is payable
- The customer remains liable for rent during the fixed agreement period
- The security deposit will be returned subject to standard deductions (damage, unpaid rent, cleaning) only after a replacement tenant is confirmed and the unit is vacated in acceptable condition
- Fuse will make reasonable efforts to find a replacement tenant, but cannot guarantee re-letting within the notice period
4.6 Tenant Replacement (Tenancy Takeover)
At any stage after signing the tenancy agreement, the customer may propose a replacement tenant to take over the remainder of their contract. The proposed replacement must:
- Meet all Fuse eligibility requirements (under 35 at booking, at least 18 at the new contract start date, temporarily relocating for a defined purpose, minimum 5-month commitment on the remaining term)
- Provide the required identification and proof-of-purpose documents (e.g. enrolment confirmation, internship agreement, employment contract or offer letter, volunteering agreement, or exchange/fellowship program confirmation)
- Be approved by the Fuse Reservations Team
- Pay the membership fee and sign a new tenancy agreement
A tenancy takeover administration fee of €50 applies, payable by the departing tenant.
4.7 Cancellation Due to Exceptional Circumstances
Fuse may waive cancellation penalties at its discretion in the following circumstances, provided the customer supplies supporting documentation within 7 calendar days of the event:
- Visa denial — official rejection letter from the relevant embassy or consulate
- Serious medical condition — certified medical documentation preventing the applicant from occupying the unit
In these cases, the security deposit and any pre-paid rent will be refunded in full. The membership fee remains non-refundable.
5. Refund Processing
All approved refunds are processed within 30 calendar days of the cancellation being confirmed. Refunds are issued to the original payment method used by the customer. Fuse is not responsible for delays caused by the customer's bank or payment provider.
6. Fuse's Right to Cancel
Fuse reserves the right to cancel a booking or terminate a tenancy agreement in the following circumstances:
- The customer fails to meet the eligibility requirements
- Submitted documents are found to be fraudulent or falsified
- Required payments are not made by the stated deadlines
- The customer breaches the terms of the tenancy agreement
In cases where cancellation is initiated by Fuse due to no fault of the customer (e.g., unit becomes unavailable), the customer will receive a full refund of all payments made, including the membership fee.
